Who coordinates IEP's at your child's school?
I just had to answer this because we are such an anomaly. Because DS goes to a private special needs school which is not funded by our DOE (in fact it is in the next state over) and because the DOE does not work with our school directly, the IEP is done by committee at the District level by a team of people who have never met DS. We are always contacted late, like 2 - 3 days before the meeting instead of 5 business days (our lawyers love this!). usually we can call and reschedule, but today they had a meeting without us because we could not reschedule to get there and they refused to reschedule! We are leaving the country today for over a week, we explained this to them but they told us they had a timeline and we would just have to call when we get back in the country and they would THEN schedule another meeting.
This year we just finished the IEP for LAST YEAR because they decided they had to do triennial testing and it took them all year to get it done. Then it took them 3 months to schedule the IEP meeting. We had the first one in June, now another committee has disagreed with the findings of the Clinical team so we have to go back for another meeting.
Needless to say, everything is a big pain every time, but our lawyers keep saying that we should just let them make their mistakes and document like crazy, because everything makes our settlement that much more imminent.
In the meantime, DS' school continues to do a terrific job and he is thriving, which is why I hardly worry about what is in the IEP and when it is done. But now we may to fight another committee to keep DS' status "needs to be in a private school" (rather than mainstreamed, we DON'T want him mainstreamed here)
The special ed teacher usually sets the IEP meeting date. I usually contact a month or so before hand to get things started so we have gone over the more controversial issues before the due date.
In middle school, YDS will have a case manager- from what I hear. This is my year to explore what happens.
Usually the resource teacher is our case manager.
It's not unusual to get a phone call about it coming up only 10 days away, so that the paperwork doesn't reach our hands in time , but for now we've always have waived our 10 notice since we had a phone call at least.
We've had some happen after the deadline too, by a few days only, so we've never made a fuss. The team is usually scurrying around trying to get things done in time, not avoiding us on purpose, so we've always given them the benefit of the doubt. I think it's mild incompetence, not outright denial of service that's at play.
There have been occasions where they've given us a couple of weeks notice and done things on time too. It's kind of a mixed bag. Sometimes they are good, some times behind the eight ball a bit.

First, I'll just say that our school's special education teacher has said that our situation is the only one like it she's seen in 30 years, so take my answers with a grain of salt.
<> The diagnostician assigned to our "cluster" (group of schools).
<> They contacted us, because they wanted to terminate DD's IEP, although no one who actually deals with DD on a regular basis thought it was a good idea.
<> In our case the diagnostician mostly sent messages through the Special Education teacher, mostly in writing, but not always. At some point official documents show up for signatures, but we're a year out of compliance, so I think the official paperwork is all for show. In fact, I just filled out a new "case report" because they lost the first one.
<> My husband calls the diagnostician fairly regularly to check in at this point. I don't, because I'm the overly emotional one and he'd like us to avoid having me yell at people. He's a diplomat.
